What is UPN?

A UPN is a unique 13-character code that is allocated to every pupil attending a state-funded school in England. UPNs should be stored in your school’s MIS. 

What happens if we have no UPN? 

At the moment we are only able to support MIS sync for schools who store UPNs on their MIS. The team are currently exploring supporting other sources of identification. 

Why do I still need to use a CSV?  

If you are an existing school, a CSV import to add UPNs to active students is required. Doing this will enable Kerboodle to maintain all prior records of students when your school moves to MIS sync. 

How do I add UPNs to existing student accounts?  

UPNs can be added two ways:  

1. Admins can manually add UPNs to individual student accounts.  

2. Using the CSV template to update student accounts with UPNs.

Where do I find the new CSV template?  

The new CSV template can be downloaded from the platform. Click CSV and select the download option.  

Please note that a previously downloaded and saved version of the CSV template will not have the correct headers; please ensure to download the new version before you start.  

My import has failed, what do I do? 

Check the following:  

  • Make sure all student’s admission numbers are unique  
  • Make sure year grouping name is identical what is currently in Kerboodle  
  • Make sure that your student’s surname and admission number on the CSV exactly matches what shows on the platform. If you need to make changes to a student’s surname or admission number, you will need to do this manually on the platform by selecting the student whose details you would like to change then clicking on ‘Edit’ 
  • Make sure you do not edit any of the headers on the CSV 
  • Make sure your CSV does not have any more than 400 students, if you need to upload more, split your file

Account Management

Why can’t I invite my teachers to Kerboodle?

Teachers will no longer be able to invite other teachers to the platform; please speak to your Wonde Administrator if new teacher accounts need to be created. 

Am I still able to reset student passwords?

Kerboodle admins and teachers will still be able to reset student passwords.  

What if I have a teacher and an admin account?

  • If your teacher account is linked to your school email, there is nothing to do, the sync will be able to manage your account.  
  • We are aware that some administrators may also have a Kerboodle teacher account. We ask that you ensure that your teacher account has your school email associated with it. If you need to amend your administrator account email, you can do this on your admin account by selecting your name on the top right, then on the pop up amend the email and select ‘Save changes’.   

How will syncing with Wonde affect how teachers and students’ access Kerboodle?

  • The Wonde sync will update all teacher and student accounts with their school emails.  
  • If your school emails are linked to your Google or Microsoft account, this will enable all Kerboodle users to take advantage of SSO to access Kerboodle.

How do I control which teachers and students are synced with Kerboodle?  

This is handled on the Wonde dashboard. Log into your Wonde dashboard and click on the icon for Kerboodle, you will see a tab called Access Control which is where you can exclude particular teachers/year groups etc. If you have any issues doing this, you can contact the Wonde support team on 01638 438094 and they can walk you through it. 

Troubleshoot

Why hasn’t the set-up sync completed?

There are two reasons why your set-up sync has not completed. 

1. Unmatched users: If the set-up sync has found users in your MIS that only partially match an existing user in Kerboodle, the set-up sync will pause. When you log into Kerboodle you will be able to view these users and manually match them to the correct user in Kerboodle.  

2. MIS data errors: The set-up sync will also detect if any required data is missing or duplicated in your MIS. These errors will need to be resolved in your MIS before the set-up sync can resume.  

Will I be notified if the set-up sync hasn’t completed?

If the set-up hasn’t been able to complete, you will be sent an email asking you to login to Kerboodle to resolve any data issues the sync has found. A reminder email will be sent every 24 hours while the sync remains paused. It is important to resolve these data issues because, until the set-up sync is completed, teachers will not be able to assign resources to students.
